How to calculate your real Airtable cost in 3 steps
- 1
How much does Airtable actually cost?
Airtable's pricing page makes it look simple: $20 per seat. But that only covers your internal team. The moment you add clients or contractors, Portals adds guest access in 15-seat packs at $8 each, and you're capped at one portal per base.
- 2
What actually drives your Airtable bill up?
Your plan tier isn't chosen directly: it's set by your largest base's record count. Cross 50,000 records on the Team plan and you have to upgrade the entire workspace to Business, which more than doubles your per-seat cost to $45/month (billed annually), whether or not you need the extra features that come with it.
- 3
What can each setup actually do?
Cost is only half the picture: the two setups don't do the same thing. If you only need to hand a handful of trusted teammates a read-only view, Portals can be enough.
Airtable + Portals vs Airtable + Rowmesh
12 seats + one guest pack works out to $360/month, before you've built anything. Rowmesh connects to your existing Airtable base, so your data stays put, for one flat Build fee plus your existing seat, instead of stacking a second per-pack cost for every group of guests. Both setups are based on the Airtable Team plan.
| Feature | Airtable + Portals | |
|---|---|---|
| Airtable seats | 1 x $20 = $20 | 12 x $20 = $240 |
| Portal guest seats | 15-seat pack x $8 = $120 | |
| Rowmesh Build plan | $65 | |
| Extra team seats | 12 seats, 2 over the 10 included x $5 = $10 | |
| Monthly total | $95/mo | $360/mo |
Capabilities side by side
If you need per-person data filtering, your own branding, or more than one client-facing view off the same base, that's where Airtable + Rowmesh is built to go further, for less than half the monthly cost in most setups.
| Feature | Airtable + Portals | |
|---|---|---|
| Each user sees only their own records | ||
| Guests never see your base | ||
| Your own domain and branding | ||
| More than one portal per base |

Find the answers you need about Airtable's pricing model
How much does Airtable Portals cost per guest?
Portal guests aren't priced individually, as they're sold in 15-seat packs at $8 each. If you only need 5 guests, you still pay for the full 15-seat pack.
Use the calculator above to see what that works out to for your actual guest count.
Is there a cheaper alternative to Airtable Portals?
Yes, connecting your existing Airtable base to Rowmesh is typically significantly cheaper than Airtable + Portals once you factor in guest packs and multiple portals, because you pay a flat build cost instead of a second per-pack fee for every group of external users.
Can I keep my Airtable base and still get a client portal?
Yes. Rowmesh reads and writes to your existing Airtable base: your data stays in Airtable, and Rowmesh builds the portal layer on top, so nothing about how your base works day-to-day has to change.
Does Rowmesh replace Airtable, or just add a front end?
It depends on how you're using Airtable. If your base is just where the data lives, Rowmesh can connect to it with two-way sync and add the interface, permissions, and portals on top — Airtable stays in the picture. But Rowmesh also has its own built-in database, Rowmesh Tables, so if you'd rather not maintain a separate Airtable base at all, you can move your data there instead and run everything from Rowmesh directly.
How many guest users does Airtable Portals include by default?
Airtable Portals doesn't include free guest seats by default, every guest is covered by a purchased 15-seat pack, and you're limited to one portal per base.
